Thanks for volunteering to help get votes collected!
All owners that are registered with Condo Control and received their package by email should vote online, hopefully much sooner than the meeting. Everyone participating in the meeting online will have the ability to change their votes in Condo Control until the voting closes during the meeting.
Only owners that received a paper meeting package with a proxy form should vote by proxy, and they should submit their proxy forms to the management office themselves so that Melissa can confirm they completed the form correctly. Owners in the Party Room can change their votes during the meeting by submitting a new proxy form.
All owners have the right to skip meetings and avoid voting. Everyone has the right to privacy, and the right to be left alone. Canvassing is permitted ahead of a planned vote, but we must be respectful of the people who do not want to be disturbed.
No board members are participating in canvassing, and the management office is not helping with coordination of volunteers. They are remaining neutral and ensuring that all owners have received the exact same package of official information.
Our top priority is to confirm that all owners have received the package and know how to vote.
Any owner that did not receive either an email or paper package should call the management office as soon as possible.
Packages were only sent to the registered owners at the email addresses on file with the management office, so you might be talking to the spouse of the registered owner, or the package might have been sent to an email address that they don't check very often.
Owners seeking more information can be encouraged to visit https://www.ycc50.ca/pool (the same information is posted in each lobby mailroom), and owners seeking discussion can join the Facebook group. Owners with complaints about your canvassing can contact Rob at pool@ycc50.ca.
Owners with specific questions should be directed to the management office, or invited to the board's information session on March 17th in the 1350 Lounge from 7-8pm.
Tips for canvassing
Cast your own vote before canvassing, so that you're ready to answer questions about how to vote. Please also review the pool information page to make sure you understand it all.
Remembering that you are not volunteering to campaign for a specific outcome! You are volunteering to help as many as owners as possible vote for their own preference!
Don't knock more than twice, don't call or email more than once. After knocking, give people time to put on pants before they open the door!
Some owners may have placed a post-it note on their door to say that they've already voted - to save you time. You can skip those doors.

If anyone asks how we got an owner's name or other information, let them know that the management office is required by law to provide names and addresses for all unit owners whenever requested by another owner.
Introduce yourself, and be friendly! Let people know that you're an owner and a neighbour, let them know that you're a community volunteer and trying to help as many people as possible to cast their votes.

Do you know how to cast your vote before the meeting starts? Do you know you can change that vote during the meeting?
Do you know that owners cannot attend the meeting in the party room in person unless they register in advance at the management office? Only 30 seats are available for owners that do not have internet access.
Do you understand the question about keeping the pool? Do you know that the board is required by law to fix the pool unless at least 250 owners vote "NO" to keeping the pool?
Do you understand the question about the loan? Do you know that the board will be required by law to collect a special assessment unless at least 188 owners vote "YES" to pass By-Law #14?
Do you know about the board's information session on March 17th in the 1350 Lounge from 7-8pm for owners with questions?
If the owner has two units, do they know they have the right to vote twice by submitting their second ballot with a proxy form to the management office?
If you have difficulty in communicating due to a language barrier, please ask what their preferred language is, we might be able to find a fluent volunteer to call or visit them.
Would the owner prefer a phone call or a visit from you or another volunteer another time?
Make a note of who you have canvassed, so we can make sure they are not canvassed again.
Make notes about any inaccuracies we have about who owns the unit, since a new owner might not yet have registered themselves as the new owner at the management office.
If you have a stressful conversation, please take a break before moving on to the next owner.
